How to create checklists for project tasks

A checklist is not a todo list. A todo list holds everything. A checklist is a repeatable procedure for a known outcome — launch a site, onboard a client, publish an article. Done right, it prevents forgetting and makes work transferable.

The anatomy of a good project checklist

  1. One outcome per checklist. “Launch website” is a checklist. “Do work” is not.
  2. 7±2 items per section. Research on working memory and Atul Gawande’s The Checklist Manifesto converge here: longer lists get skimmed. If you have 22 items, group into 3 sections: Prep / Build / Verify.
  3. Verbs first. Each item starts with a verb: “Draft brief,” “Review copy with legal,” “Deploy to staging.” Nouns invite ambiguity.
  4. Order by dependency. Blockers at top. If item 8 depends on item 3, swap them — the list should be executable top-to-bottom without jumping.
  5. Include the “stupid” step. The most valuable checklist items are the ones you think you won’t forget: “Confirm domain DNS,” “Send calendar invite.” Checklist value is in the obvious, not the clever.
  6. Owner + due date where collaborative. “Design hero — Maya — Fri” beats “Design hero” when three people share the list.
